Job Description

Tokio Marine HCC – Public Risk Group, a member of the Tokio Marine HCC group of companies is looking for an Administrative Assistant for our office located in Auburn Hills, Michigan.

Position Summary:

 Under general supervision of the MTPP Program Administrator, this role will perform a variety of general administrative and clerical tasks associated with the daily operational management of the Michigan Township Participating Plan program. Provides support services to the Program Administrator of the Michigan Township Participating Plan and its Board of Directors as it relates to board activity. Performs a variety of tasks to support the completion of goals and objectives in a professional and appropriate manner.

Key Responsibilities:

 The Administrative Assistant is responsible for accomplishing the following assignments. These assignments reflect substantial variety and complexity and are broad in nature.


  • Perform clerical duties, maintaining files, and organizing documents.
  • Process, and assemble approved board documents for distribution as directed.
  • Provide planning assistance and coordination of board committee meetings, and board luncheons.
  • Assist in the planning of MTPP outside events and conferences including venue bookings, lodging arrangements, catering requirements, room and audio visual set-up.
  • Responsible for maintaining adequate inventory for MTPP program promotional items
  • Assist in the preparation and draft correspondence such as meeting minutes or memorandums, using mail, fax, or other electronic means.
  • Assist in performing updates to board and program documents, and other related activities.
  • Assist in the formatting and development and distribution of the board newsletter.
  • Assist in the preparation of processes and distribution requirements necessary for the MTPP dividend program.
  • Assist in the preparation of processes and distribution requirements necessary for MTPP board elections.
  • Assist in the preparation of processes and distribution requirements necessary for the MTPP grant program.
  • Performs other general clerical duties such as setting up files, copying, filing, faxing, scanning, ordering supplies, and operating departmental office equipment.
  • Provides overall administrative assistance to program administrator.

Job Requirements

Position Knowledge, Skills, and Requirements:


  • Associate's degree and five years of relevant administrative experience. (Bachelor's Degree preferred) 


  • Minimum of two years of demonstrated ability in administrative support experience and event planning.


  • Possess and have ability to apply knowledge of principles, practices, and procedures
  • Excellent written and verbal communication skills with an emphasis on confidentiality, tact, and diplomacy
  • Advanced organizational and time management and prioritization skills; demonstrated ability to manage multiple tasks simultaneously
  • Proficiency and experience using Microsoft Office package (Excel, Access, PowerPoint, Word, Publisher)
