Job Description

Position Summary:

Under supervision, performs a variety of primarily routine tasks associated with the processing of risk control applications and related activity. Incumbents in this position may provide support services to various entities including The Alliance, Michigan Township Participating Plan and/or Michigan Fairs.

Key Responsibilities:

Relying on limited experience and knowledge, the Risk Control Assistant II is responsible for accomplishing the following assignments. These assignments are varied in nature and frequently non-routine.

• Input, review, and process risk control activity into designated database to assist in the application, assessment, and reporting processes.
• Update and maintain departmental records such as accounts, applications, site reports, policies, and related documents.
• Prepare and draft correspondence such as applications, letters, report, or memorandums, using mail, fax, or other electronic means.
• Answer phone and resolve basic inquiries or forward call to appropriate contact for resolution. Provide follow-up for risk control recommendations with policyholders.
• Perform incoming and outgoing mail and fax distribution.
• Maintain departmental files including the purging of outdated records. May coordinate off-site storage.
• Prepare, process, and assemble approved resource material for distribution.
• Forward requested files and related documents to internal departments such as Claims, Accounting, etc.
• May perform research on risk related topics or prepare department reports, as needed.
• Perform other general clerical duties such as setting up files, copying, filing, faxing, scanning, ordering supplies and operating departmental office equipment. Provide overall administrative assistance to department management.
• May perform relief work within department or for other departments, as needed.
• Recommend and participate in the implementation of improvements to current processes and procedures.

• Follow work plans, established timelines, and pre-defined goals for assigned work.
• Meet commitments on deadlines.

• Develop strong customer focus and high service level relationship with clients.

Cost Management
• Perform work thoroughly in a cost efficient manner and at a high productivity level.
• Utilize company resources effectively.


Business Controls and Policies
• Comply with all corporate policies and procedures.
• Take all reasonable steps to safeguard company assets against waste, loss, unauthorized use and misappropriation.
• Report any breakdown in controls to a Supervisor or Manager.

People Management
• No people management responsibility
• May assist in orienting and training less experienced employees.

Job Requirements

Position Knowledge, Skills, and Requirements:

Education
• High school diploma or equivalent. Associate’s degree preferred

Experience
• Minimum of two years of relevant and progressive office/clerical experience acquired from working in risk management, insurance underwriting or a related area.

Other
• Possess and have ability to apply basic knowledge of principles, practices, and procedures
• Good written and verbal communication skills with an emphasis on confidentiality, tact, and diplomacy
• Good organizational and analytical skills; demonstrated ability to manage multiple tasks simultaneously
• Intermediate proficiency and experience using Microsoft Office Package (Excel, Access, PowerPoint, Word)

Working Conditions and Physical Demands:
• Overtime hours may be required to fulfill job responsibilities
• May require travel outside normal work location
• May require a valid driver’s license
• May be required to stoop, bend, or sit for extended periods of time
• May be required to lift up to 50 pounds
• Dexterity of hands and fingers to operate a computer keyboard, mouse, and other devices
• Close vision and ability to adjust focus; required to read a computer screen
