Position Summary: 

Under supervision, the Transportation Assistance Coordinator is responsible for the logistical planning required to successfully arrange for a nurse escort to transport patients from their travel location to their home after an unexpected illness or injury. The arrangements include, but are not limited to, making flight and ground transportation arrangements, filing the appropriate paperwork required by the airlines to transport a patient, and hotel reservations. The Transportation Assistance Coordinator will work with the Emergency Response Center to ensure the highest level of care for the patients and their families.   

Job Requirements

Key Responsibilities:

Relying on limited experience and knowledge, the Transportation Assistance Coordinator is responsible for accomplishing the following assignments. These assignments are varied in nature and frequently non-routine. 

  • Logistical planning for airline reservations, hotels, and ground transport
  • Financial processing and tracking of all travel arrangements.
  • Detailed and thorough communication with medical staff assigned to escort the patient.
  • Submission of paperwork required by the airlines to ensure medical clearance for any ill/injured traveler.
  • Proper completion of paperwork to ensure a hospital admission if required at a patient’s home hospital.
  • Contingency planning and problem resolution when arrangements do not follow plan.
  • Perform Assistance Coordinator duties such as:
    • Case Overviews
    • Follow-ups to be sure patient arrived home safely
    • Other administrative tasks as assigned.

Position Knowledge, Skills, and Requirements:


  • High school diploma or equivalent


  • Minimum of two years of relevant and progressive experience in area of specialization
  • Proven experience in a customer service environment


  • Professional and outgoing demeanor
  • Ability to communicate diplomatically and tactfully in order to develop close relationships with internal and external customers
  • Proven ability to follow directions and/or work independently as necessary.
  • Proven ability to function in team environment
  • Willingness to work flexible hours, varied start times, nights, and weekends.
  • Understanding of company vision and devotion to developing positive, successful and interactive customer and partner relationships
  • Familiarity with international travel and geography
  • Possess and have ability to apply basic knowledge of principles, practices, and procedures
  • Good written and verbal communication skills with an emphasis on confidentiality, tact, and diplomacy
  • Good organizational, analytical, problem solving, and time management skills; demonstrated ability to manage multiple tasks simultaneously
  • Intermediate proficiency and experience using Microsoft Office Package (Excel, Access, PowerPoint, Word)
